Timekeeping

Timesheet deadlines vary by the employee's payroll cycle. The current deadlines can be found here. For late submissions, employees should use the manual timesheet that corresponds to their regular pay cycle.

  • Student Assistants will generally report hours in CalTime as real-time employees on a bi-weekly cycle. The bi-weekly pay cycle runs runs from Sunday to the Saturday of the second week. Paychecks are issued every other Wednesday.
    • The exception would be if they are also have a GSI or GSR appointment with a higher percentage, which in that case their Student Assistant appointment will be on the monthly pay cycle. Instead of CalTime, they will have to complete and submit the Monthly Manual Timesheet to report their hours worked.
  • GSR's in general are not required to submit timesheets and will be automatically paid salary every month, on or around the 1st, based on the appointment percentage multiplied by the full-time pay rate prescribed by their Supervisor in the hire request.
    • The exception would be if they also hold a Reader, Tutor, or Student Assistant appointment. In that case, their GSR appointment will be on the bi-weekly pay cycle. They would still use CalTime to report hours worked for their Reader, Tutor, or Student Assistant appointment.
    • Students only have to complete and submit the Bi-Weekly Manual Timesheet to report their GSR hours worked if they also hold a Student Assistant appointment. GSR timesheets are not required if they also hold a Reader or Tutor appointment and will instead be automatically paid their salary bi-weekly.
  • Readers and Tutors will normally report hours in CalTime on the bi-weekly pay cycle.
    • The exception would be if they also hold a GSI appointment. In that case, Readers and Tutors will receive pay on a monthly pay cycle and use the Timekeeping app (time.berkeley.edu) to report their hours worked.
    • Monthly-paid Readers can report their missed time for previous pay periods going as far back as 6 months and will then be paid on their next on-cycle pay date. If they want to be paid sooner for the missed time, they can instead submit the Monthly Manual Timesheet for an off-cycle pay date.
  • Non-student hires will report hours in CalTime as anytime employees on the bi-weekly pay cycle.
